A bank account in Invoi is the destination on the invoice. You add it once. Then you feed it statements so the ledger matches the bank — without typing a month of transfers by hand.
Cash in a drawer is a different book (Cash on hand). Invoi Balance is the Capital wallet. Neither of those takes a bank statement.
#Add accounts
Go to Settings → Bank accounts, or Dashboard → Bank & Cash, and add each account you use for customer payments: bank, number, currency. Those details can print on the invoice so the customer knows where to transfer.
#Upload statements
On Dashboard → Bank & Cash, open the account. Choose Upload statement, or Upload next to a missing stretch on the coverage bar.
Invoi reads more than PDFs:
- PDF — the statement the bank emails, or the file you download from internet banking
- CSV — the spreadsheet export many banks offer
- Photo — JPG, PNG, WebP, or HEIC of a paper statement, or a screenshot from the bank app. On a phone you can Take picture
Drop several files at once. Then Extract transactions. Invoi looks for the usual columns: date, money in, money out, description (nội dung chuyển khoản), and when the bank prints them, document number and running balance.
Typing those rows is how paid invoices stay unmatched, and how month-end turns into a Zalo thread with the accountant. An upload is the same numbers the bank already posted.
#What you get after an upload
The rows land in that account’s transaction list. Statement coverage for the year shows which months you already have, gaps with no statement, and files that overlap or duplicate. Opening balance, money in, money out, and closing balance sit above the table.
Those rows are what you match: Money in to sales invoices, Money out to expenses. Until a bank row is linked, “paid” is a guess.
