You need an accountant. You do not need to disappear from your own books.
In Vietnam the split is usually this: the accountant issues customer invoices and files; the owner receives supplier invoices in email, Zalo, and PDFs. Each side is missing the other. The job is to hire someone good at compliance and keep one live picture of paid vs unpaid.
#What “good” looks like for a small company
Look for someone who already files VAT for công ty TNHH or công ty cổ phần — not only hộ kinh doanh sales invoices. Ask:
- Who issues the VAT e-invoice today — you or them?
- How do they get the data (chat files, a copy of accounting software, the tax portal)?
- When you ask “who still owes us?”, how long until an answer?
- Are they fine if you still see invoices, customers, and bank matches — not only them?
A cheap accountant who locks you out of the source of truth is expensive. You find out late. You cannot check a customer yourself.
#Part-time, firm, or in-house
Most early companies start with a part-time accountant or a small firm, not a full-time hire. That is fine. What is not fine is a working agreement that says: you never open the system; they will tell you at month-end.
If they only accept “send me the Excel,” you will spend the year in Zalo. Prefer someone willing to work from the same invoices and bank matches you use to run the company.
#How you work together in Invoi
You keep running the company — issue invoices (or let them issue), follow payments, match bank transfers. They keep the books and filings compliant — same invoices, same customers, same bank matches. Neither of you retypes the other’s work.
From Settings → Team, add their email. Details: Invite Accountant. For period files they can still export into MISA, Fast, and similar tools.
#When to hire
Hire before the first VAT invoices pile up in chat — ideally as soon as the company can issue e-invoices. Waiting until “we are bigger” is how founders lose a quarter of visibility.
