Use Replace when an issued VAT invoice should be superseded entirely — for example the buyer is wrong, or the document needs a full rewrite rather than a line-item delta.
Invoi creates a new invoice that replaces the original. Once you submit, the original is no longer the active document. When you issue the replacement, Invoi automatically submits form 04/SS-HĐĐT to the General Department of Taxation on your behalf.
To keep the original and send only the differences, see Adjust Invoice.
#When you can replace
Open an issued invoice (validated or sent). In the More menu, choose Replace.
Replace is available when:
- The invoice has not already been adjusted or replaced.
- The invoice is not itself an adjustment invoice.
An invoice that has already been adjusted should be corrected with another adjustment, not a replacement.
#Steps
- Open the invoice → More → Replace.
- Choose a replacement reason (required): incorrect quantity, unit price, VAT rate, description, unit of measure, buyer information, or a custom reason.
- Update the full invoice — customer, line items, amounts — to the values that should stand going forward.
- Review the PDF preview. This is a complete invoice, not a delta.
- Sign and issue. Invoi writes the legal header note automatically, for example: *Thay thế cho hóa đơn [series], [number], [date], lý do [reason]*, and files 04/SS-HĐĐT with GDT.
#After replacement
- The new invoice is labeled as a replacement of the source invoice, with a link back.
- The original is superseded and can no longer be adjusted or replaced.
- The tax-authority notification is submitted with the replacement — you do not file 04/SS-HĐĐT separately.
