The badge on an invoice is two things at once: whether the tax authority has accepted it, and whether a bank transaction is matched to it.
#After you sign
- Pending (Đang xử lý) — signed and sent to the tax authority. Waiting for a CQT code. Not fully issued yet. See How it works.
- Validated (Đã duyệt) — the tax authority accepted it and issued a CQT code. This is a real invoice.
- Invalid (Không hợp lệ) — the tax authority rejected it. Fix the data and issue again.
- Sent (Đã gửi) — you sent it to the customer (email, web link, or PDF). It is still a validated invoice. See Web invoices.
#Bank matching
In Vietnam most businesses issue the invoice when the customer pays. So instead of paid / unpaid / overdue, Invoi tracks whether the money is matched — linked to a real bank transaction. These only apply after the invoice is issued.
- Unmatched — issued (validated or sent), no bank transaction linked yet. This is a list filter, not a separate badge.
- Partially matched (Khớp một phần) — some of the due is matched or recorded; the rest is still open.
- Matched (Đã khớp) — covered in full, from a matched bank transfer or a payment recorded by hand.
The invoice list filters on the same idea: Pending, Unmatched, Matched, plus Adjusted and Replaced.
#After you change an issued invoice
- Adjusted (Đã điều chỉnh) — you sent only the difference. See Adjust Invoice.
- Replaced (Đã thay thế) — a new invoice took its place. See Replace Invoice.
Issued invoices cannot be cancelled in Vietnam. Use adjust or replace.
The web invoice the customer opens does not show Sent or Matched. They see CQT code issued (Đã cấp mã CQT), unless the invoice is pending, adjusted, replaced, or invalid.
To check the tax system itself, not the Invoi badge, use Look up invoice.
