A VAT e-invoice is not just a PDF you email. The official format in Vietnam is XML — that is the file that gets signed and sent to the tax authority. The PDF is only a readable copy. The invoice still has to be signed, submitted, and given a code before it is fully issued.
#The path
- Register to use e-invoices with form DK01 (01/ĐKTĐ-HĐĐT). Invoi does this from Settings → Company profile. See eSignature & DK01.
- Create the invoice — customer, series, line items, VAT. See Create Invoice.
- Sign the XML with a chữ ký số. Invoi includes a free cloud eSignature on every plan. No USB token for day-to-day signing.
- Send the XML to the tax authority. Invoi submits it for you.
- Receive a Tax Authority code (mã CQT). Until this arrives, the invoice is still processing.
- Send to the customer — email, web link, or PDF. Those are copies. The official invoice is still the XML. See Web invoices.
- Keep the XML (the legal file) and the PDF (for reading and printing). Your accountant uses the XML for the books. See Exports.
#What “processing” means
After you sign and submit, the tax system checks the invoice. The status stays Pending (Đang xử lý) until a CQT code comes back. You cannot treat it as fully issued until then. See Invoice statuses.
#After it is issued
Need to change a few lines? Adjust and Invoi files 04/SS-HĐĐT for you. Need to redo the whole invoice? Replace — also files 04/SS-HĐĐT.
Anyone can check if an invoice is on the tax system at Tra cứu hóa đơn điện tử. See Look up invoice.
